Connecting Gmail, Outlook, or SMTP for Outreach

UGC Roster sends your pitches from your own email account — Gmail, Outlook / Microsoft 365, or any provider that gives you SMTP details. Here is how to get connected.

Sending pitches through the Outreach Engine needs an active paid plan. Applying to Direct Deals does not — that stays free on any account.

How to connect your email

  1. Sign in to UGC Roster on the web.
  2. Open Settings → Email & outreach.
  3. Find the Email connections panel.
  4. Choose Gmail, Outlook / Microsoft 365, or Other email (SMTP).
  5. For Gmail and Outlook, sign in and approve access. For SMTP, pick your provider from the list and fill in the details it asks for.

Once one connection is saved, both manual pitches and automated outreach can send from it.

What the SMTP option needs

  • Your provider's outgoing (SMTP) server name
  • A port — 465 for SSL or 587 for TLS
  • Your full email address as the username
  • For Yahoo, iCloud and Google Workspace: an app-specific password generated in your provider's security settings. Your normal login password will not work.

Zoho, GoDaddy and most company mailboxes connect this way too.

Common problems

| Problem | What's going on | |---|---| | Gmail won't connect, or "Gmail cannot send emails for your account" | Usually a Google Workspace account where an admin has restricted Gmail access. Ask your admin to enable it, or connect a personal Gmail instead. | | SMTP won't save, or sending fails | Re-check the host, the port (465 or 587) and the username. If a saved SMTP password stops working we clear it for safety — re-enter the app password and save again. | | A brand shows as contacted but no message was stored | It was marked as contacted by hand rather than sent through Roster, so there is no saved email body. | | "Inbox monitoring needs Google permission" | Connecting Gmail for *sending* does not let us read bounces and unsubscribe replies. Reconnect Gmail and grant read access as well. |
